Microsoft Teams
What is Teams?

Microsoft Teams is part of the Office 365 applications suite available to all Queensland Health staff. It is a great way to collaborate with members of your team and can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

 

What can I use Teams for?

Microsoft Teams can be used for:

  • Virtual team meetings
  • Creating teams based on your department or unit area
  • Hosting virtual ward rounds via the Microsoft Teams Video Conferencing capabilities.

Microsoft Teams should not be used for:

  • Sharing any patient information in the chat function or;
  • Patient Identification such as URN, Date of Birth, Ward Location or photos in the chat function
  • Recording video and audio calls that disclose any sensitive patient information.

 

Cyber Security Information

As outlined in Cyber Security Group's QHEPS fact sheet, the Teams chat feature can be used for communicating non-sensitive information i.e. sending a meeting or appointment link is acceptable if the provided link does not contain any sensitive information.

Up to 250 participants are allowed in a Teams meeting.

Microsoft Teams Live Events are available to Queensland Health Staff. A Microsoft Teams Live Event can host up to 10,000 participants. Queensland Health staff must log a job via the Online IT Support portal under Office 365 extensions to have the access provisioned for their account. Subject to approval, access can take up to 24 hours to apply to a user account.

A webcam is not required for a Microsoft Teams meeting but you may require headphones with a microphone or a headset.

Cyber Security Group (CSG) has defined the following three levels of information classification:

Official: classified for transmission of non-business-related correspondence.

Sensitive: classified for the transmission of personally identifiable, confidential or commercial information.

Protected: classified for the transmission of information which is highly sensitive or risks personal safety.

 

In accordance with Cyber Security and their Fact Sheet via QHEPS - Methods to Securely Transfer Information electronically, staff can share sensitive clinical information via video and audio calls during meetings.

Staff however are NOT permitted to:

  • record video and audio calls containing sensitive information
  • share sensitive information or links to sensitive information via the Teams chat feature
  • share sensitive information or links to sensitive information in the 'Posts' section of Teams and Channels

Staff can still make direct calls and group calls without having to host or join a meeting. These are private and will not appear in any team conversation. They can do this by navigating to the Calls tab on the left menu pane or clicking the video or phone icon during private or group chats.

Creating teams and channels for departments, work areas, work groups. Allows for communication within teams/ departments, scheduling and performing meetings, acts as local network drives on cloud. Can upload documents, multiple work on documents at one time, link to OneNote for a knowledge base, record meetings for training purposes.

Copy and paste the following link to the address bar of a file explorer window - C:\Users\novellusername\AppData\Roaming\Microsoft\Teams\Backgrounds\Uploads

Be sure to type in your novell username in the bold section. Once you save your custom images in this 'Uploads' folder, it will immediately be available in the backgrounds settings of Teams.

What is Forms?

Microsoft Forms is part of the Office 365 applications suite available to all Queensland Health staff. It can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

 

What can I use Forms for?

Microsoft Forms is used to create quizzes and collect feedback in the form of a survey.

 

Cyber Security Information

Microsoft Forms cannot be used for patient identifiable information (i.e. patient surveys or classified departmental data.

Create questionnaires/surveys/feedback forms for staff, useful for activity input and monitoring.

What is Excel?

Microsoft Excel is part of the Office 365 applications suite available to all Queensland Health staff. It can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

 

What can I use Excel for?

Microsoft Excel can be used to store and organise many data sets. Using its features and formulas, you can also use the tool to make sense of your data.

Click file -> New sheet

Collate data, create databases, perform basic calculations and data manipulation. Often used for projects and quality assurance activities.

What is OneDrive?

Microsoft OneDrive is part of the Office 365 applications suite available to all Queensland Health staff. It can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

 

What can I use OneDrive for?

Microsoft OneDrive can be used to save documents, photos, and other files in the cloud, share them with colleagues, and even collaborate on content.

Personal cloud storage for files, can be used across multiple devices. Share links to documents for simultaneous editing.

What is OneNote?

Microsoft OneNote is part of the Office 365 applications suite available to all Queensland Health staff. It can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

 

What can I use OneNote for?

Microsoft OneNote can be used for note-taking and gathering information and allows for multi-user collaboration. It gathers users' notes, drawings, screen clippings, and audio commentaries.

Manage and take notes for meetings, collate data and information for research, can be used as a knowledge base with links to Teams. Great for collating contact lists, Wiki function, study notes, minute taking, orientation packages.

What is Outlook?

Microsoft Outlook is part of the Office 365 applications suite available to all Queensland Health staff. It can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

What can I use Outlook for?

Microsoft Outlook functions as your email, calendar, task manager and contact manager.

 

Cyber Security Information

Emails between @health.qld.gov.au email addresses are already encrypted however, if sending an email to external addresses ensure to encrypt the email by following the guide here.

Send and receive emails and calendar appointments, search for relevant contacts within Queensland Health, organise tasks and your calendar, link calendar to Microsoft Teams meetings, link with personal devices.

What can I use Word for?

Microsoft Word is used for creating documents such as letters, brochures, learning activities.

Skype can be used to talk to colleagues. Patient information and sensitive departmental data should never be discussed in the Skype Chat function.

What is Power BI?

Microsoft Power BI is part of the Office 365 applications suite available to all Queensland Health staff. It can be used on your personal and corporate supplied desktop computer, laptop and/or mobile device.

 

What can I use Power BI for?

Microsoft Power BI aims to provide interactive visualisations and business intelligence capabilities with an interface simple enough for end users to create their own reports and dashboards.

Create reports on clinical and non-clinical data, linking with SharePoint sites to graphically display and interrogate data.
